How to hire

You will need to log in with your UIS/Raven University login (for members of the University) or an external e-mail account (for external users), in order to hire an instrument.

Once you have reserved your equipment, you will receive an invoice, which must be paid before you can collect the instrument.

Hire periods

Hire periods begin and end at 12 noon on the dates specified in your booking. If you need an instrument from the morning to the afternoon of a single day, you will need to hire the instrument for two days. Within our fee structure, this only costs 25% more than a single day.

You may return the instrument early, the same requirements apply (see below). We reserve the right to terminate the hire agreement and require the return of the instrument if the circumstances require it.

Collection and return of instruments

Instruments and equipment are to be collected from West Road Concert Hall, 11 West Road, Cambridge, CB3 9DP.

Core opening hours are 0900-1700 Monday-Friday. We strongly encourage all hirers to collection and return within these hours, where they will be met by a member of staff.

Additionally, the building is also often open later on weekdays during the academic term and when events are taking place at weekends (exact times will vary). For collection and return of orchestral percussion – especially in evenings and at weekends – we strongly advise getting in touch with the Custodians (01223 335180) in advance (see below for other equipment types). It is usually possible to return instruments on Sunday mornings provided certain times are avoided.

The Custodian will attend to you as soon as they are able and will provide assistance if other duties permit. All hirers must be capable of identifying and moving the instruments themselves.

When returning orchestral percussion, hirers should return them to their allocated space in the store room unless otherwise directed.

We are unable to deliver or arrange for delivery of any of our collections.

If you are hiring PA equipment and unable to visit in core hours please get in touch with the Centre for Music Performance at info@cmp.cam.ac.uk (not the Custodians). Pre-approved string instrument hires cannot be collected out of core hours.

Terms of hire

The hirer is wholly responsible for the safe and timely collection, use and return of the instrument and accepts liability for loss and damage during the hire period. Any loss, damage or wear and tear must be reported to the CMP immediately. We reserve the right to charge you and/or retain all or part of your deposit in the event of careless or deliberate loss or damage or late return.

You may not lend or loan the instrument to another person.

Instruments need to be returned on time so the next person to hire the instrument can pick it up on time. We reserve the right to charge you for any time during which an instrument is unavailable as a result of lateness.

Time multiplier charge

On the hire page, instrument prices for a single day's hire are displayed. For hire periods longer than a day, we apply a charge multiplier which functions as a discount.
